I’ve seen too many couples get their hearts set on a venue only to find out it doesn’t fit their needs. Knowing your budget, estimated guest count, and preferred wedding date will narrow your search and save you from future headaches.

Your venue will likely be the largest wedding expense, often accounting for up to 50% of your budget. I learned this when I first opened my venue—many couples were shocked by the actual costs. It’s important to be realistic about what you can afford. When reaching out to venues, ask for a detailed cost breakdown. Does the price include taxes, service fees, gratuities, or cleaning fees? Knowing the total cost—not just the base rental fee—can help you avoid surprises. At Blueberry Hill, we believe in transparent pricing with no hidden fees. For $5,000, we offer a two-day rental that includes a DJ, chairs, tables, linens, lodging for 8, setup, and cleanup. If you choose to serve alcohol, we also provide a bartender and security, bringing the total to $5,600.

You want enough room for guests to mingle comfortably, dance, and for your DJ or band, plus a spot for gifts. Here at our NC wedding venue, we happily cap our guest count at 150. This ensures everyone has plenty of space to enjoy your special day.

3. Consider Location and Accessibility

Your venue’s location heavily impacts your guests’ experience. Think about it: Is it easy to find? (We’re nestled on a private farm, just off I-77.) Is there plenty of convenient parking, or will they have to pay? (Here, we have space for 100 cars.) For those traveling from afar, look for venues near hotels and airports. (Good news: a hotel 2 miles from us offers a shuttle service!) And for guests with mobility challenges, always confirm the venue is truly accessible with ramps, elevators, and accessible restrooms. (Our main reception space has a level entry—no stairs!—and an accessible restroom on that same floor. We can even transport guests to the ceremony site by golf cart if needed.)

Here at Blueberry Hill, our rustic barn was built by my grandparents back in 1949. When we remodeled in 2014, we made sure to reuse old barnwood and metal, keeping that original charm alive.

5. Outdoor vs. Indoor Options

An outdoor wedding can be breathtaking, but it comes with risks. I remember one July wedding at our barn; it was 86 degrees, and we had no air conditioning then—thank goodness for an afternoon thundershower to cool things off! (We made sure to install AC and heat before the next event!) If you’re considering an outdoor ceremony or reception, always ask the venue about their backup plan for bad weather. For instance, we have a foolproof plan to move your ceremony indoors in under 30 minutes if needed. Confirm if a good indoor space is available at no extra cost, and get these details in your contract. You’ll want to be covered, come rain or shine.

6. Availability and Seasonality

Popular wedding venues can book up 12-18 months in advance, especially for Saturdays in June or October. If you can, be flexible with your date. Thinking about a Friday, Sunday, or an off-season wedding can sometimes open up more options and even lower the cost. we only book 1 wedding per weekend and the fall dates do book fast.

A BYO policy can sometimes save you money, but you might need to arrange a special license and insurance. We allow you to bring your choice of beer and wine, and we provide the glassware and bartender..

Ask for a detailed list of what’s included in the rental fee. Does it cover tables, chairs, linens, and tableware? Some venues provide these basics, while others will have you rent them separately.
